Document errors are not what is frightening; what is frightening is delaying the fix. There is a time window for amendments, and the sooner you act, the smaller the loss.

First, identify which type of discrepancy it is

Amending a document is not an admission of fault, but a way to keep losses to a minimum.

How to amend a customs declaration

Submit an amendment application and a statement of circumstances to the customs office where it was declared.

Amending after the customs declaration has been released and the goods have shipped is noticeably harder.

The window for amending a bill of lading is shorter

Amending before the vessel sails is relatively easy; amending after sailing requires the carrier's consent.

Common changes: consignee, notify party, marks, number of packages, weight.

Changes involving title to the goods, such as switching to telex release, require extra caution.

How to amend a certificate of origin

If the certificate content is wrong, apply to the issuing authority for a change or reissue.

If the error is found after the goods have shipped, supporting explanatory materials are usually required.

If the importer has already cleared customs using the erroneous certificate, timely communication to correct it can avoid later liability.

Turn "remedy" into "prevention"

Cross-check the four documents before issuance: contract, invoice, packing list and customs declaration form.

Focus on checking product name, code, unit of quantity, currency, amount and terms of trade.

Keep an amendment log recording the cause of each error to reduce repeated mistakes.

Establish a "pre-issuance review" system, where the issuer and the reviewer are not the same person.
